SubRoster

Your carrier can bill you for every sub without proof on file.

SubRoster keeps that proof current. It reads each certificate, checks the state license, keeps the workers' comp proof the state asks for, and chases your subs and their agents, in Spanish or English, until every file is complete.

First month refundable within 30 days. No contract.

Every company gets its own address. Your sub's mobile and email are picked up from the forwarded message, because the certificate doesn't carry them.

What one sub without proof costs at audit

At the premium audit, carriers count what you paid a sub with no proof of coverage as your own payroll. Put in your numbers.

This is an estimate. Rates, class codes and how each carrier counts payments to subs vary, and the Department assesses any actual penalty. Not legal advice; confirm with your attorney or insurance advisor. Read the official text: Fla. Stat. 440.107 and Rule 69L-6.032.

Questions

Does SubRoster make me compliant?

No. Florida law puts the duty on you, the contractor: Rule 69L-6.032 says the contractor shall obtain evidence of each sub's coverage or exemption. SubRoster assists with that duty: it reads what your subs send, records what the state's records showed and when, and asks for what's missing. It doesn't confirm coverage is in force, and it doesn't decide what to require or who can work; that's your call, with your insurance advisor.

What does "checked as of" mean?

SubRoster saves what the certificate and the state's records showed on that date, with the source. Coverage can change afterward; that's why SubRoster re-checks and asks for documents before they expire.

Do my subs have to sign up?

No. They get a link that shows what's missing. With one tap they send the request to their agent, or upload a new certificate. There's nothing to download.

Does this replace my insurance agent?

No. We do not sell, solicit, negotiate, or advise on insurance. Your agent still tells you what to require; SubRoster does the asking and the filing.

What counts as workers' comp proof?

Rule 69L-6.032 accepts a screen print of the state's Proof of Coverage or Exemption search. A certificate of insurance counts only if it shows the seven items the rule lists, including policy dates that cover the dates the sub worked, and if work continues past the expiration, you need new proof. Under the rule, a contractor that obtains proper proof isn't issued a stop-work order for the sub's failure, as long as its own employees are covered. SubRoster opens the right search, saves your screenshot with the date and time, and asks for new proof before the old one expires.

What happens to W-9s?

If a W-9 lands in your SubRoster address, it's recognized and deleted without keeping the taxpayer number.

What about WhatsApp?

SubRoster messages a sub on WhatsApp only after the sub says yes themselves, from their link or by sending us a message from their phone. You can invite them; you can't sign them up. Until then, you can send them their link from your own WhatsApp. They can reply STOP (or BAJA) at any time.

Can I cancel?

Yes, month to month, any time. If the first month isn't useful, it's refunded if you ask within 30 days.
